How client approval works
You send your client one link by email. They open it with no login, check the post, and approve it or ask for changes. You then schedule it.
Send a post for approval
- Open the post in ContentPilot.
- Press Send to client.
- Type the email address of the person who signs off, and press Send link.
Your client gets an email headed “Your content is ready for review”, signed with your business name, with a Review Content button. The link works for seven days. If you set no business name when you signed up, the email uses the client's name instead; you can add one on your Account page.
What your client can do
The link opens a page with the post as it will go out. No password, no account. On that page they can:
- Edit Content: change the article title, the article and each caption. They can also press Regenerate Captions to have the captions rewritten from their edited article.
- Add image or Change image: upload their own photo (JPEG or PNG, up to 10 MB).
- Choose where it goes, under Where should this go?: one tick per platform. Unticked captions are left out.
- Request Changes: write a note about what to change, and send it.
- Approve: the button names the platforms they ticked, for example “Approve: Instagram, Facebook”.
When your client approves
The post and the captions they ticked become Approved, and the link is used up. Approving does not publish anything by itself: your client is told the post will go out once you schedule it. Open the post, pick the date and time on the Schedule card and press Schedule post, or press Publish now.
When your client asks for changes
The post shows as Changes requested on your dashboard, and their note appears on the post. Any edits they made are saved too. A post in this state cannot be scheduled. Make the changes, then approve it yourself or send it again. Their link keeps working while changes are requested, so they can come back to it.
The weekly preview email
On a client's edit page, tick Weekly preview email. Every Monday morning in that client's time zone, they get a list of the posts going out over the next seven days: day, time, platforms, the first line of each caption and a small picture. Only approved and scheduled posts are listed. Replies go to your email address. Nothing is sent in a week with no posts, or if the client has no email saved. It is off for every client until you turn it on.

FAQ
Common questions
My client says the link has expired.
Links work for seven days and stop working once the post is approved. Open the post and press Send to client again for a fresh link.
Can I send the link to someone other than the saved email?
Yes. The Send to client box takes any one email address, so you can send it to whoever signs off on that post.
Do I get an email when my client approves?
Not at the moment. The post changes to Approved, or to Changes requested, on your dashboard and on the post itself.
Can my client see other clients’ posts?
No. Each link is tied to one client and one post, and only opens that.
